Create your first notebook #
This article walks you through creating your first project notebook and describes each of the sections. Project Notebooks are great for committee chairs, event managers and anyone else who needs to record information on their project, event or group.
Prerequisites: This task requires the user to have administrative access to creating notebooks.
Instructions #
Step 1: Navigate to the All Project Notebooks area by clicking the menu item located under the Project Notebooks main menu item.
Step 2: Click the Add New button to create a new project notebook.
Step 3: Under the Choose the options for this project card, check the items you wish to include for this notebook.
Key information – This section is great for adding very important information as it relates to this project. We recommend creating a “What went well” and “What didn’t go well” section in this area that can be viewed a summary to continually improve the project in the future.
Notes – This section is a place to hold multiple general notes for your project. You can create How-to guides for specific components of your project, or simply create a free-flowing thought train to be referenced later.
Task Management – Create tasks for this project here. You can even assign users to specific tasks and send reminders based on the task’s due date and time. Be sure to update the status of the task as you complete each task.
Meeting Minutes – If your project has a committee that holds meetings at a regular interval, you might want to record meeting minutes. You can also record who the attendees were. This is a great place for such a thing! You can even auto-display these minutes on the front-end if you wish to share the minutes with others.
Budget – Manage a small budget for this project and always see where you stand. Enter a starting budget and add revenue and cost items to this budget to keep track of how your project or event does from year to year.
Kanban – This is a great visual tool to manage the larger tasks associated with a project. You can manage and edit the stages, create new cards of information and drag and drop the cards across the stages as needed.
Note: You can reorder these sections by clicking the small up or down arrows located at the top right-hand corner of each section card.
Step 4: Add any desired Project Managers to this notebook, so they may access and edit as needed. Simply click the + Add New button and begin typing the user’s name.
Step 5: Choose if you’d like to display this project notebook on the Project Listing page by checking or unchecking the Project Display Setting checkbox.
Options:
- Set a Project Due Date by clicking in the Set Project Due Date field and selecting a date.
- Upload a banner image for your project notebook by clicking the set banner image in the Banner Image meta box on the right-hand side.
- Upload any relevant attachments using the Project Attachments section (files, images, posters, etc.)
- Assign to a category – If you are utilizing notebook categories, you can assign this notebook to a created category in the Categories meta box.
Creating and maintaining project notebooks is a create way to avoid ‘recreating the wheel’ for your event, project or committee. These notebooks can be duplicated each year and simply updated to reflect that specific year’s efforts.
